What happens when a customer calls after hours?

Check your phone service from the customer’s point of view and decide on the next step.

Start with your own phone line

Call your business number during and outside opening hours. Does the caller hear a clear message? Can they leave a request? Do they know when to expect an answer?

Record what you observe

Note the date, time, call outcome and whether the request reached the responsible staff member on the next working day. One check is a specific observation, not a judgement of the quality of the whole business.

Explain what the customer can expect

State your actual opening hours and contact options in the greeting. Do not promise a callback time your team cannot meet. If you use a voice assistant, check how it handles urgent or unclear questions.

Check the handoff too

If you use call forwarding, check whether the recipient is available. If you capture callback requests, agree who will handle them. Receiving a request is not the same as confirming a booking.

Repeat the check after changes

When you change opening hours, the greeting or the way calls are handled, make another test call. Check that the caller receives current information and the request reaches a staff member.
